Privacy Policy

Applies to epTools, epTools Lite, and Magnet Master. Effective [October 10, 2026]

In short: epTools has no accounts, no advertising, and no tracking. Calculators and decision tools work entirely on your device. Data leaves your device only in three cases: when you choose to use an AI (✨) feature, when you opt in to anonymous usage analytics, and when the app sends the anonymous records needed to support those features. We never sell data.

epTools is a clinical decision-support and reference application for cardiac electrophysiology. This policy explains how epTools (version 4.0 and later), epTools Lite and Magnet Master handle your information. epTools version 3.13 and earlier, and Magnet Master 1.02, collect no data.

1 INFORMATION WE COLLECT

epTools doesn't ask you to create an account or sign in. We never collect your name, email address, phone number, location, contacts or payment details. Depending on the features you use, we collect the following, described in sections 2 through 6:

content you choose to send for AI analysis (section 3)

anonymous device and install identifiers (section 4)

optional tool-usage analytics (section 5)

redaction audit records (section 6)

Magnet Master collects no data.

2 INFORMATION YOU ENTER

epTools includes clinical calculators, decision algorithms, renal-function estimation and risk-score tools. Values you enter into these tools are processed entirely on your device to produce a result. They aren't sent to us or to any third party, except when you choose to send them for AI analysis as described in section 3.

No patient-identifiable information is required to use the app, and you shouldn't enter any.

3 AI ANALYSIS

When you use an AI (✨) feature, epTools sends what's needed to answer your request to our server, and from there to Google's Gemini service for processing. That includes the ECG or mapping image you choose, your answers to the tool's questions, and any prompt you've written or edited.

Redaction on your device. Before anything is sent, epTools scans the image on your device and redacts text that may identify a patient, such as names, dates of birth and record numbers. You review and confirm the redactions before sending.

Your responsibility. Don't submit images or text that identify a patient. Under our End User License Agreement, you confirm that each submission contains no protected health information.

What we keep. Our server passes requests to Google and doesn't store the images, prompts or AI responses. Google may keep requests for a limited time under its own terms, for example to detect abuse. See [link to Google's Gemini API terms].

How we use it. AI submissions are used only to give you a result. We don't use them for advertising, and we don't sell them.

AI output is for educational and decision-support purposes only and is not a substitute for clinical judgment.

4 DEVICE AND INSTALL IDENTIFIERS

epTools creates a random, anonymous install identifier. It's stored in your device's Keychain, so it stays the same if you delete and reinstall the app. We also use a one-way hash of Apple's vendor identifier, and an Apple App Attest key that confirms requests come from a genuine copy of epTools. We use these only to enforce AI usage limits, prevent abuse, and group the records described in sections 5 and 6. They aren't linked to your name, email or Apple Account.

5 TOOL USAGE ANALYTICS (OPTIONAL)

epTools asks whether you want to share anonymous usage. If you agree, the app records which tools you open: the tool's name, the time, the app version and the anonymous install identifier. This helps us learn which tools clinicians actually use. It never includes values you enter, patient information or anything you type.

You can turn this off at any time in the app's Settings (Share anonymous usage). Turning it off deletes any events not yet sent. We record your yes-or-no choice without any identifier, so we can measure how many people opt in.

6 REDACTION AUDIT RECORDS

To support the attestation described in our End User License Agreement, epTools records each redaction decision you make: a one-way hash of the image, the category and position of each redacted item, and the action taken. These records contain no image content and no text from the image. They're kept on your device for up to 90 days and sent to our server along with the identifiers in section 4.

7 ANALYTICS, ADVERTISING AND TRACKING

epTools contains no advertising and no third-party analytics or advertising software. It doesn't track you across other companies' apps or websites, and we don't share data with data brokers. The only analytics are the optional, anonymous usage records in section 5, which go to our own server.

8 SUBSCRIPTIONS AND THE APPLE APP STORE

epTools, epTools Lite and Magnet Master are distributed through the Apple App Store. Downloads, purchases and subscriptions are handled by Apple under Apple's own privacy policy. We never receive your payment details. The app checks your subscription status on your device using Apple's StoreKit. From Apple, we receive only aggregated, anonymized sales and download reports, which don't identify you.

9 DATA RETENTION AND DELETION

AI submissions: our server doesn't keep them (see section 3).

Usage analytics and redaction audit records: kept on our server for [retention period].

Identifiers used for AI usage limits: expire after 120 days of inactivity.

To ask us to delete records associated with your install, contact us using the details in section 13.

10 CHILDREN'S PRIVACY

epTools and Magnet Master are intended for healthcare professionals and are not directed to children. We don't knowingly collect information from children.

11 DATA SECURITY

Data sent to our server is encrypted in transit (HTTPS), and the server accepts only requests from genuine copies of the app, verified with Apple App Attest. We keep no names, contact details or payment information, which limits what could be exposed in a breach. Information stored on your device is protected by your device's own security features.

12 CHANGES TO THIS POLICY

We may update this policy from time to time. Changes will be posted here with a revised effective date, and material changes may also be noted in the app's release notes.

13 GOVERNING LAW AND CONTACT

This policy is governed by the laws of the State of Alabama, without regard to its conflict-of-laws principles.
